We will fly AirTran from Atlanta to Denver (direct flight):
June 14 AirTran 303 departs Atlanta at 9:00am and arrives Denver 10:30am

June 28 AirTran 308 departs Denver at 3:35pm and arrives Atlanta 8:30pm

Scouts will be responsible for arranging transportation to and from Hartsfield-Jackson Atlanta International Airport, though we encourage car-pooling. You must plan to be inside the Atlanta Airport between 6:15 and 6:30am. We will proceed to the security check in at 7:00 am. If you arrive after that you will be responsible for finding us at the departure gate. Crews will not wait for late arrivals.

It may well be that some of the adults going want to do as we have done last time and overnight the previous night at a nearby motel, leaving vehicles there (cheaper than the airport parking for this length of time!).

In the past we've gone via Colorado Springs, which is about 3 hours drive from Philmont (Denver is about 4 hours) but the flights we were quoted for that were another $100 more expensive, and some involved plane transfers, which would up the chances of lost luggage... so we are opting for the AirTran one, which has excellent times to allow for ground travel to and from Philmont. We will have a charter bus between Denver and Philmont on both legs of the journey.

We'll cover more of these details as we get closer, and at our pre-departure party/meeting, but note also that (1) we will travel in full uniform wearing our hiking boots; (2) we will have carry-on bags donated by Nakanishi (thanks to Steve S); and (3) we will have duffel bags to transport/protect our checked backpacks.

Hi Scouts and Adults going to Philmont--

We are now only 25 days from departing for our grand adventure! There are several things we need to make sure we share with you (apart from our enthusiasm!) to make sure everyone is on the same page and well prepared. So please take note (may want to print this out!).

(1) The pre-departure meeting, gear-check, and party (!) will be happening on Sunday, June 11, from 5 to 8 p.m., at the Founders Grove pool. Mr. Pate will be getting out more information about the 'party' side of things, but this is also a mandatory and important final meeting for us. At that time we will: (2) Hopefully everyone going, got their copy Tuesday of the 2006 "Guidebook to Adventure", the little Philmont manual that is packed full of information. Important: READ THIS ALL! It will really help get a feeling for what you will need to know. It also has the correct packing list for what you should be taking on the trail (note that this is somewhat different than what you needed for the AT).

(3) Physical conditioning: Everyone should be continuing/upping their physical activity level between now and the trip-- hiking, jogging, etc.-- remember base camp is at 6,000 feet elevation and we'll be going up to nearly 12,000 feet! You want to be in good cardiovascular shape. Also you should be wearing your hiking boots around to have them well broken in if they are relatively new.

I should point out that this would be a REALLY bad time to break your leg, mess up your ankles or knees, etc., so please be careful in the coming weeks with your sports activities!

You'll also want to get a haircut just before we go, and also to trim your fingernails and toenails (Philmont recommends toenail trimming be straight across to minimize likelihood of ingrown nails...)

(4) Transportation: Important! Our flight is AirTran from Atlanta to Denver (direct flight):

Due to the security checkpoints ALL CREW MEMBERS ARE EXPECTED TO BE AT THE AIRPORT BETWEEN 6:15 AND 6:30 AM. If you are driving in that morning leave PLENTY of time!

Here is the process that we plan to follow:
1. All crew members will be issued their e-tickets at the Gear Check party on June 11th ( a required meeting for crew members & parents). We will also issue you your pack duffel bag and personal gear bag. Backpack will be in the canvas duffel bag for protection; don't lock this.

2. DO NOT PACK ANY GEAR IN YOUR PERSONAL CARRY ON BAG THAT COULD BE CONSIDERED A WEAPON- POCKET KNIVES, RAZOR, ETC.

3. Upon arrival at the Atlanta Airport you should come inside the terminal to the AirTran area. Don't forget your e-ticket and photo ID! Crews will meet together and then check in and go thru Security together. We expect all crew members to there by 6:15-6:30 to check in. At 7:00 am Crews will start their way thru Security. IF YOU ARE NOT THERE AT THAT TIME IT IS YOUR RESPONSIBLITY TO GET THRU SECURITY AND MEET US AT THE GATE. Crews will not wait for late arrivals.

Each crew member is responsible for their own transportation to and from the Atlanta Airport. Our trip starts at the airport. However, we want to encourage ride-sharing!

Several crew members are planning on staying in Atlanta for the night of June 13th. Some hotels provide complimentary parking for your trip if you stay one night at the hotel. They will also provide transportation. Last time we stayed at the Red Roof Inn on 1200 NE Virginia Ave (next to Delta's corporate headquarters).

PLEASE LET ME KNOW what your plans are in terms of getting to the airport-- Do you have a ride? Do you need a ride? Are you willing to provide a ride for others? And

(1) will you come Wed. morning and meet us at the terminal (2) will you overnight in Atlanta.

Since the night before is a Tuesday (Scout meeting!) one possibility would be for those of us who want to stay at the Inn to leave directly from the troop meeting. (This is probably what I will do, and am willing to share transportation.)

We will travel in Class A uniforms with our hiking boots on (you do not want to risk having your boots forgotten or lost!). Adults who do not have Class A uniforms are expected to travel in the Blue Troop 149 T-shirts.

(5) Packing list for base camp (in carry-on bag): Suggestions for your personal gear pack list (based on Mike Floyd's suggestions from 2004)
(we will be staying in basecamp two nights when we arrive and one night after we get off the trail)

Remember these items will be stored in your personal gear bag at basecamp while we are on the trail. You may also want to bring cards, a book, etc. for the air and bus travel time. If you bring an iPod or personal stereo, you may use this on the airplane and on the bus, but *not* while we are "in public" in the terminal and also not at Philmont itself (base camp or on the trail!). If you wish to bring a cell phone to call from base camp (rather than the pay phones there) you may do so but we will only have 1 cell phone per crew in the back-country, for emergency use ONLY.

Base camp gear:
  1. 2 pair of socks
  2. two pair of underwear
  3. sleep clothes
  4. two pair of shorts w/belt
  5. AT t-shirt and Philmont Cool-Max t-shirt
  6. Personal grooming items (such as soap, shampoo, sunscreen, toothpaste, etc) (any items that could be considered a weapon should be packed in your checked luggage)
  7. small flashlight for basecamp (may want to use a different one than your trail light to conserve battery power)
  8. shower shoes for basecamp showers
  9. Pair of shoes to wear home instead of your boots (if you desire)
  10. Class A uniform and hiking boots to be worn while we travel
  11. towel/wash cloth (Mike's suggestion is to bring two old towels-- use one towel while we are at basecamp and discard and then use your other one when you return to basecamp of the last night- that way you do not have to worry about your towel drying before we leave to go on the trail)
  12. In base camp you'll also need to have rain gear and water bottle everywhere we go

(6) And one final bit of good news, it sounds like troop Eagle and past Philmont crew leader Ross Kemp will be working at Philmont some this summer, including the time we're there, so with luck we will have this "special resource" available!

    To reach the Deep Gap (see map) parking area take 441 into Franklin, NC, drive West on US 64 to just past the Clay County line (small sign) then turn left onto FS 71 (small brown sign), which is a 5-6 mile gravel road ending at Deep Gap (begins as an old asphalt paved road in poor repair, then turns to gravel). Stay on this road until it ends. The Appalachian Trail crosses through the parking area.

Cancellation Policy:

Notice- All participates must be able to pass Philmont's health and weight requirements as stated in the 2006 Philmont Health and Medical Record and meet the Troop's pretrek hike requirement. Refunds are not given to individuals who do not meet these requirements. Participants must meet the 2006 requirements.


Please review the height/weight requirements with each participant. These requirements will be strictly enforced by Philmont Scout Ranch for both youth and adults.

Pretrek Participation requirements:

We will have five pre-trek hikes, including the troop hike in October or November, 2005. the exact dates will be set by the philmont Planning Committee, for weekends in January, February, March and April, 2006.

Scouts: participation in 60% of all pre-trek hikes, minimum=3
Adults: participation in 80% of all pre-trek hikes, minimum=4
It is highly recommended that all crew members participate in every hike.

PHILMONT 2006 PARTICIPATION AGREEMENT

As an intended participant or parent of an intended participant in the Troop 149 Philmont trek scheduled for 15-27 June, 2006 (with additional travel time before and after), I hereby agree as follows:

* I understand that the Philmont Trek is a High Adventure Activity that requires good physical health and fitness and that certain physical restrictions apply. All participants must be able to pass Philmont's health and weight restrictions as stated in the Philmont health form. Refunds are not given to those who do not meet these requirements.

* I understand and agree to meet all policies and requirements for participation, including CPR and First Aid Certification and participation in the expected percentage (60% for youth, 80% for adults) of the pre-trek hikes. If I am an adult participant, I understand that I must obtain Youth Protection Training in order to participate in the Philmont Trek.

* I understand that the Philmont trek is an inherently dangerous activity and have read and understand the Risk Advisory in the Philmont Health and Medical Record.

* I understand and agree that, due to the significant financial cost of this activity, each participant must support his/her share of this cost. Therefore, I understand and agree that by making the first payment and signing this agreement, I fully commit to paying the entire predetermined cost of $1300 per person by the monthly payment schedule. (Final cost might vary)

* I understand that if I cannot participate after signing the agreement, but can find a replacement that is acceptable to the Troop 149 Philmont Committee, I will not be held responsible for the payment. I also understand that if I cannot participate after signing the agreement, and feel that I have special circumstances, the payment policy can be appealed before the Troop Committee of Troop 149. I agree to comply with their decision.
